This position requires excellent customer service and public relations skills, effective business writing skills, experience using Microsoft Office Suite, and good knowledge of legal terminology, procedures, and legal ethics. This position is responsible for a wide variety of secretarial functions including assisting in travel arrangements, billing, budget processing, compiling management data, working with SharePoint and will also interact with the financial unit to insure fidelity to accounting procedures. Example of Duties - Performs a wide variety of secretarial functions; coordinates non-routine secretarial and clerical activities; answers phones and screens callers for further access to staff. - Composes letters, correspondence, and memos requiring independent judgment as to content. - Compiles and analyzes information from a variety of sources to prepare reports. - Utilizes a variety of software to create, process, and maintain a various of documents and administrative records containing technical information and difficult formats. - Schedules and coordinates arrangements for meetings and/or conferences. - Acts as a liaison between organizational unit and external customers. - Responds to inquiries and explains department services, policies, procedures, and rationale for decisions to customers. - Prepares financial transactions such as credit card transmittals and other bookkeeping records; may monitor budgets. Minimum Qualifications You must possess all the minimum qualifications listed below to pass the exam for this position. Click on the Questions tab associated with this announcement for the details regarding minimum qualification requirements. - Good knowledge of office support functions including word processing, filing, composing a variety of business documents, reception, gathering and compiling data, and balancing and coordinating a workload for multiple projects. - Experience using Microsoft Excel for complex data analysis. - Ability to type 50 wpm. - Experience collecting and organizing data and managing a data base. - Ability to use word processing software (Microsoft Word) and equipment to produce merged documents, specialized tables, reports, correspondence, forms and graphics.
