We hope you'll join us. Job Summary Provides a broad range of executive and administrative assistance to teams throughout the organization. Duties & Responsibilities Provides administrative support to meet the needs of broad Healthwise initiatives and functions. Maintains calendar(s), screens and schedules calls, appointments, meetings, client / vendor visits, conferences and interviews. Coordinates preparations for scheduled meetings including agendas, set-up, audio-visual, food catering and other support. Orders team supplies, creates and tracks facilities and helpdesk requests, etc. Coordinates hiring for teams as needed, including distribution of resumes, administration of assignments and/or tests, scheduling of candidates and working with Human Resources. Makes travel arrangements to optimize convenience, comfort, and cost. Prepares and submits expense reports and tracks expenses as requested. Organizes and manages team events, including budgeting, third party vendor coordination, scheduling, site selection, catering, and coordinating the technical aspects of the event. Assists in creation, management, and monitoring of team budgets. Edits key reports and other documents and helps edit and format advanced PowerPoint presentations. Helps manage team documents and knowledge in a digital environment, keeping knowledge management sites organized and monitoring for needed updates. Administers team computer hardware and software requests, training, and implementation. Contributes to the development of new techniques to complete tasks in creative and effective ways. Provides backup support for the front desk receptionist during lunch hours or as needed for occasional meetings and vacation coverage. Executes special assignments and tasks under general supervision. Performs other duties as assigned. Qualifications A minimum of 5 years of experience providing executive assistance with demonstrated success in managing executive offices. Able to strike a balance between supporting daily needs of the organization with a high degree of initiative in anticipating and quickly resolving problems. Team player with thorough knowledge of secretarial and general office practices and procedures. Strong written and verbal communication skills. Excellent grammatical, spelling and editing skills, with ability to compose clear, logical business correspondence. Experience with budget management preferred. Advanced experience with entire MS Office Suite, including Word, Outlook, SharePoint, PowerPoint, and Excel. Research capabilities and excellent internet skills. Detail oriented with experience in handling information of a confidential nature. All offers are contingent upon the completion of a background check.
