General Summary

Performs a variety of administrative support activities for the Probation Division of the Ada County Juvenile Court Services and interacts extensively with youth and families, court clerks, probation officers, detention officers and community providers. The position is located at the Ada County Juvenile Court Services, Benjamin Campus.


An Administrative Specialist II is distinguished from an Administrative Specialist I by the addition of lead work duties and works under general supervision and acting under own initiative. Performs advanced work of a confidential nature that requires thorough knowledge of practices and policies, and coordinates activities.

Essential Functions

* Maintain reception area for the Probation Division to include scheduled appointments and walk-in customers; * Creates and maintains a wide variety of records systems; * Reads and interprets documents to ensure complete and accurate records are maintained; * Greets telephone callers and provides agency related information; * Answers questions to provide information about diversion and probation services; * Obtains information from others to respond to questions and requests; * Performs simple to moderate clerical tasks to include typing, filing, and drafting of correspondence; * Creates, updates and maintains files; * Performs searches on computer databases; * Provide court related information for law enforcement agencies; * Compiles data, composes letters, maintains confidential files, inputs and retrieves electronic data; * Assists with the collection of court fees and restitution; * Maintain a data base for processing urinalysis collection, payment and results; * Coordinates group schedules, attendance, and notification of completion for the probation division; * Conducts research for juvenile probation department; * Performs complex tasks to include data analysis; * Maintains inventory for office supplies; * Analyze, compile, and prepare probation related data into summary reports; * Coordinates, prioritizes, and ensures timely completion of multiple projects; * Coordinates Probation Services Manager's calendar and schedule; * Manages Community Resources; * Assists in end of day deposit reconciliation; * Assists in the hiring, selection, and training of Administrative Specialist I; * Completes special projects.


* Performs related duties as assigned.

Job Requirements

* High school diploma or equivalent; * Minimum of two (2) years of previous administrative support experience; * Good knowledge of business math; * Knowledge of English grammar, punctuation and spelling; * Knowledge of modern office equipment, practice and procedures; * Knowledge of Microsoft Office software including Word, Outlook and Excel; * Skill in performing customer service; * Skill in creating and maintaining effective working relations with individuals and entities both within and external to the juvenile court; * Skill in organizing and accurately accomplishing work within limited timeframes; * Skill in communicating with culturally diverse populations; * Skill in telephone etiquette; * Ability to plan and prioritize; * Ability to maintain a large amount of data with a high degree of accuracy; * Ability to maintain confidentiality of data; * Ability to follow written and verbal instructions; * Ability to clarify ideas and present in written and verbal forms; * Ability to listen and develop information into a draft proposal; * Ability to operate a personal computer; * Ability to work as a member of a team to accomplish division and department goals; * Ability to handle money (currency, coin, and checks) accurately; * Ability to meet and deal effectively with the general public, fellow employees, juveniles and their families, court officials and others in stressful situations; * Ability to work independently and take initiative.


* The incumbent is subject to a criminal records check, pre-employment drug screen, and fingerprinting prior to hire.

Work Environment & Physical Demands

* Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions; * This position requires sustained periods using a keyboard and performing other computer work; * Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
