What you will be doing: Perform a variety of clerical and administrative duties related to the maintenance, control and tracking of corporate documents. Responsible for the receipt, inventory and processing of records as required. Coordinate the receipt, retention, and retrieval of corporate documents and related records to be maintained or scanned by the Records Center pursuant to established policies and procedures. Review Company contracts and documents as they are received from Legal and other departments to confirm accuracy of the information submitted in the related internal paperwork and index information into record retention computerized inventory system and key dates into the Company calendar tracking system. Preparation, imaging and downloading of contracts and other documents into Company's electronic records repository. Review and process requests for records. Interface with Company personnel in a professional and helpful manner to fill requests for records or provide other requested information. Perform related duties as assigned by supervisor. SKILLS, EDUCATION, PHYSICAL REQUIREMENTS AND WORKING CONDITIONS: * Previous experience/education in filing systems/records retention desired, preferably with parent Company. Personal computer experience required, preferably with Microsoft Office. * High School degree or equivalent required. * Work requires ability to analyze and extract pertinent information from documents, attention to detail, good memory, and the ability to work with minimum supervision. * Knowledge of basic contract terminology. * Ability to work effectively with other associates in the department. * Must possess the ability to conduct oneself in a helpful, service-oriented, and professional manner and to interact positively with a wide variety of Company personnel. * Must be able to use discretion and tact when handling confidential information and maintain security measures to always safeguard confidential information. * Must be able to stand and move around for lengthy periods of time. * Specialist will work at an offsite location. Work performed in the office is under normal office conditions in a temperature-controlled environment. Must be able to lift boxes weighing up to 60 pounds, stoop, bend and twist at 90* angle with box, be able to climb a safety ladder and pull files weighing approximately 10 pounds from shelves overhead.
